About Us

Founded in 2006 by practicing registered architects dealing with the day-to-day management of a design firm, BidDocs was the solution to a problem. Like many AEC professionals, the founders had to deal with voluminous, laborious and repetitive paperwork and administration tasks fraught with errors and inconsistencies.

Having served in a variety of roles in their early careers, the founders fully understood that the building process requires multiple participants doing multiple tasks in a complicated process that can lead to risk.

Risk originates with flawed documents and errors in the process that can lead to cost overruns, schedule delays and potential claims/litigation.

The old way of doing business with each participant (Owner, Designer and Contractor) manually administering the paperwork and workflows (with spreadsheets, emails, stamps, and disjointed solution software applications) was not sustainable. The manual transfer of information from one document to another resulted in errors that compounded the discrepancies between the documents.

Frustrated with the tedious and risky process, the founders formed BidDocs to simplify and streamline the process through automation. This allows each participant to focus on the high value tasks in their areas of expertise.

The founders still actively manage a design firm and use BidDocs’ fully integrated application for the entire building process – design, bidding, and construction. The founders experience the daily challenges of the industry and obtain immediate feedback from the other participants in the process.

As a result, BidDocs’ software developers implement production-tested modifications and enhancements to improve functionality and the user experience. This direct working relationship between actual users and the software developers provides BidDocs with an unparalleled advantage of understanding the industry demands and constant changes.

BidDocs History

  • 2006 – Founded by registered architects actively engaged in managing a design firm.

  • 2012 – First to introduce electronic bidding in the Commonwealth of Massachusetts that was in full compliance with the procurement statutes.  To date, BidDocs has received over 5000 bids with billions of dollars in construction value.

  • 2013 – Introduced “SmartSpec” (design application) to automate the preparation of design/bid set documents in response to a governmental client’s requirements (formula funding).  The client went from preparation of 250 projects per year to over 1200 projects per year.  SmartSpec automated the creation/generation of the front-end documents, compiled submissions within minutes, and verified the bid set requirements.

  • 2019 – Introduced the construction application.  The first commercially available application that generates, links, and processes requisitions, proposed change orders (PCOs) and change orders (COs) automatically.  The application auto-populates the divisions and sections in the Schedule of Values (SOV).  The application also prepares the complete archival closeout documents with a single click.

  • 2021 – Introduced SecureStamp to generate and audit the creation and use of signed professional stamps on electronic drawings/documents to prevent theft, forgery and misuse.

  • 2022 – Introduced the first commercially available application that automates the creation, generation, and distribution of addenda.  The feature also allows for the creation and generation of the “conformed documents” with a single click.
